Live View — User Manual

Overview​

Live View lets you share a read-only, real-time map of vehicle locations with people who don't have an account in the system — customers, dispatchers, drivers' families, anyone who just needs to see where a vehicle (or a whole fleet) is right now. Sharing works through a link, not a login.

The feature has two halves:

  • Managing live view links — an authenticated screen where you create, edit, share, rotate, and revoke links. This is where you decide what a link shows and to whom.
  • The public live view page — the page the link actually opens. It requires no account and no password; anyone with the link can view it for as long as the link is valid.

Anyone holding a link can see everything it grants access to, for as long as it remains valid. Treat a live view link like a shared secret — only send it to people who should have that access, and revoke or rotate it once it's no longer needed.

Both entry points require the Live view management permission for your role. The Live view tab itself is also only available if it's enabled for your organization's whitelabel — if you don't see it, ask an administrator to confirm it's turned on. The LiveMap link shortcut additionally requires permission to edit the specific vehicle.


Open Fleet Management → Live view to reach the Manage live view links screen.

The table shows every link your organization can see, with columns for Name, Organization, Scope, Status, Last used, and Created, plus a row of action icons.

  • Scope is a clickable, underlined link — e.g. "3 vehicle(s) (5 vehicle(s) total)" — click it to open a modal listing every vehicle the link currently covers.
  • Status is shown as a colored tag: green for Active, gray for Expired, red for Revoked. If a link is active but expires within 3 days, the tag turns orange and shows a tooltip with the relative expiry time.
  • Last used shows the last time someone opened the link, or Never if it hasn't been opened yet.

Use the filter row above the table to narrow the list by Organization, Status (All statuses / Active / Expired / Revoked), and Sort order (Newest first / Oldest first / Expiry soonest / Expiry latest).

Click the + button (tooltip: Add live view link) to open the Creating new live view link modal.

Give it a Name. This is an internal label only — it helps you recognize the link later in the list, but it is never shown to whoever opens the link.

Step 2 — Choose the owning organization​

Pick an Organization. This is the organization that owns the link and determines who can manage it. It cannot be changed after the link is created.

Choose one of:

Step 4 — Choose what data is exposed​

By default, "Expose all dashboard parameters" is on, meaning the link shows the full dashboard for each vehicle. Turn it off to restrict the link to a specific set of Exposed parameters (for example, just location). For customer-facing links, prefer a minimal set of parameters rather than the full dashboard.

Step 5 — Set the validity window​

Set a Valid from date/time, and either:

  • Set a Valid until date/time, or
  • Turn on "Never expires" — the link then stays active until you manually revoke or rotate it.

Step 6 — Save and share​

Click Save. On success you'll see "Live view token created successfully", and the Share link modal opens automatically with your one-time link — see Sharing a Link below.

A link must grant access to at least one vehicle or organization, and if you're restricting parameters, at least one parameter must be selected. The modal will not save until these are satisfied.

The Share link modal shows the actual URL to send to whoever should view the map, in the form:

This link is shown only once. Copy it now — you will not be able to see it again. If you lose it, you will need to rotate the link (see below) to generate a new one, which invalidates the old one.

Use the copy button next to the link field to copy it to your clipboard, then click Done.

Click the pencil icon on a link's row to open Edit live view link. You can change the name, scope (vehicles/organizations), exposed parameters, and validity window — everything except the owning organization. Editing does not generate a new secret, so any existing recipients keep working with the link they already have unless you also change its scope.

Click the refresh icon (tooltip: Rotate link (invalidates the previous link)) to generate a brand-new secret for the same link configuration. Confirm in the Rotate live view link dialog. This is the only way to recover a lost link — the old URL stops working immediately, and the new one appears in a fresh Share link modal for you to copy.

Click the trash icon (tooltip: Revoke link) to permanently disable a link. Confirm in the Revoke live view link dialog — "Anyone holding it will immediately lose access." A revoked link cannot be reactivated; create a new one if access is needed again.

Edit, rotate, and revoke are all disabled once a link's status is Revoked.

From the Dashboard, open a vehicle's ⋮ menu and choose LiveMap link. This opens the same creation modal pre-scoped to that single vehicle (name defaults to "Live map - <vehicle registration>"), skipping the organization/scope pickers. Use this when you just need to quickly share one vehicle's location without going through the full link management screen.


Part 2 — The Public Live View Page​

This is the page that opens when someone visits a shared link (/live/<secret>). No account is needed — the page is intentionally accessible even if the visitor is logged into the system in the same browser as a different user.

  • While loading, the page shows "Loading live view..."
  • If the link has expired, been revoked, or is otherwise invalid, it shows "This link is no longer active."
  • Otherwise, the map loads and starts showing live vehicle positions.

The map refreshes automatically roughly every 4 seconds while the browser tab is visible (it pauses when the tab is in the background, and resumes on return). If the connection is temporarily interrupted, a "Reconnecting..." banner appears while it retries.

The Map​

Vehicles appear as color-coded markers reflecting their current status: Running, Idling, Parked, Disconnected, or No signal. Each marker carries a permanent label showing either the vehicle's number plate or its make & model, depending on the label setting.

When zoomed out, nearby vehicles group into lettered clusters (A, B, C…) with a chip tray along the bottom of the screen showing a summary per visible cluster. Zoom in, or click a cluster, to break it apart.

Links scoped to a single vehicle skip clustering entirely and instead show a Navigate button, which opens Google Maps directions to that vehicle's current location.

Floating Controls​

Three round buttons float in the bottom-right corner of the map:

If the live view page is embedded in an iframe on another site, these floating controls are hidden by default. Add ?embed=0 to the link's URL to force them to show anyway.

Settings Drawer​

Opens from the ⚙ button. Available options:

  • Map provider — Google or LocationIQ
  • Map mode — Light or Dark
  • Inactive vehicles — Show or Hide
  • Marker labels — Number plate or Make & model
  • Vehicle status — Show or Hide
  • Temperature data — Show or Hide
  • Clustering — Enabled or Disabled; when enabled, also exposes Clustering radius and Clustering max zoom sliders

At the bottom, "Copy current view link" copies a URL that reopens the page at the exact same map position, zoom level, and settings — useful for sharing a specific view (e.g., "zoomed into the depot") on top of the base link.

Vehicle Status Legend​

Opens from the ⓘ button. Explains each status color (Running, Idling, Parked, Disconnected, No signal) with a one-line description. If any visible vehicle reports temperature data, a Temperature alert colors section also explains the deviation levels: Normal, Slight deviation, Moderate deviation, High deviation.

Temperature Data Sidebar​

Opens from the 🌡 button. Shows one card per vehicle with temperature sensors, each displaying the target vs. current temperature (color-coded by how far it deviates) and a timestamp for the reading. If no vehicles on the link report temperature data, it shows "No vehicles with temperature data."

The Settings drawer, Vehicle status legend, and Temperature sidebar are always displayed in English on the public page, regardless of the visitor's browser language — unlike the link management screen, which follows your account's language.


Permissions​

  • All link management actions (view the list, create, edit, rotate, revoke) require the Live view management permission for your role, scoped per-action (view/create/edit/delete).
  • The LiveMap link dashboard shortcut additionally requires edit permission on the specific vehicle.
  • The Live view tab only appears if enabled for your organization's whitelabel configuration.
  • The public /live/<secret> page has no permission check of its own — access is controlled entirely by the link's secret and its validity window/status. Anyone with a valid link can view it without logging in.

Tips and Common Patterns​

Sharing one vehicle's location with a customer: use the LiveMap link shortcut from the Dashboard vehicle list rather than the full link management screen — it's pre-scoped and faster for a one-off share.

Sharing a whole fleet's live positions with a dispatcher: create a link scoped to Whole organization(s), so vehicles added later are automatically included without editing the link again.

Minimizing what's shared externally: turn off "Expose all dashboard parameters" and select only the parameters you actually need (e.g. location) — especially for links going to people outside your organization.

Lost a link before it was copied? There's no way to retrieve a previously generated secret — rotate the link to generate a new one, then share the new URL.

Temporary access for an event or delivery: set a Valid until date instead of "Never expires," so the link stops working on its own without needing to remember to revoke it.

Bookmarking a specific map view for repeat sharing: open the link, adjust the map position/zoom and settings, then use "Copy current view link" in the Settings drawer to get a URL that reopens exactly there.
